Questions before you order
Requirements differ between records and authorities. These answers explain the usual starting point.
Do I need to travel to Poland or speak Polish?
Most document requests can be started remotely and our service is provided in English. Some later procedures, such as a passport appointment, may require you to attend in person; the relevant service page explains this where applicable.
How long will my request take?
Timing depends on the type of document, the information available and the processing office or archive. Check the individual service page for an estimate, and ask us if your case involves older or incomplete records.
Will the document be accepted outside Poland?
Acceptance is decided by the authority receiving the document. Depending on the country and purpose, it may ask for a particular record format, an apostille or a sworn translation. Tell us where the document will be used so the available options can be reviewed.
What information should I provide?
For civil records, useful details include the person’s full name, event type, approximate date and place. Other services may require a company number, property details or an authority reference. The service page lists the usual requirements.
What if a surname was changed or spelled differently?
Include every known spelling, along with dates, locations and relatives’ names where available. Historical and emigrant records may use different versions of a name, so these details can help identify the correct record.
Can I add an apostille or sworn translation?
These options are available for relevant documents. Whether they are needed depends on the document, destination country and receiving authority, so confirm that authority’s requirements before ordering.
